How to Host an Outreach Event

An Outreach Event in ArcataCamp Unalayee campers come from all over the world and from many different communities on the west coast. We can’t be everywhere to spread the word about the magic of Camp on to the next generation, so we rely on our alumni, parents, campers, and community members, all along the west coast, to help us connect with the next generation of campers.

So, how do you host an outreach event?

  • Choose a location in your local community
    • Your house
    • Most public libraries have public meeting rooms you can reserve for free
    • If you live in a place with generally nice weather – a picnic area in a park. Parks have the added advantage of advertising Unalayee’s commitment to the out of doors.
  • Choose a date and time
    • January – March are the best months because this is when most families make their summer plans and Unalayee gets most of it’s registrations.
    • Day of the week and time of day are tricky – ask people you know are interested what times they would be able to come and schedule it then!
  • Call or E-mail your friends who you have been trying to sell on Camp and make sure they will attend.
  • Get in contact with anyone else who lives in your community that has been involved with Camp and make sure that they’ll be there too to help answer questions and share their personal stories.
  • Contact your local newspapers, radio stations, TV stations, and online calendars and ask them to list your event. Most newspapers and newsletters have free online calendars and most radio and TV stations do free PSAs if your event supports a non-profit (like Unalayee).
  • If you are nearish to or in the Bay Area – call or e-mail Sarah Camp and see if she is available to attend your event or if she knows another staff member who can attend.
  • As you approach the date of your event make sure you have everything you need:
    • Photos of Camp
    • The Unalayee Slideshow
    • This year’s dates and rates printed and ready for reference
    • Printed Applications for the Summer (click the link to download)
    • Snacks (everyone loves snacks!)
    • A map of the Trinity Alps (make sure you know where Camp is on that map so you can point it out!)
    • If you’ve chosen a public location like a park or the library, a sign to identify you for someone who doesn’t already know you.
    • If you’d like more marketing materials, let Sarah know, and she’ll make sure you get them.
  • A couple days before the event check in with your friends and anyone else who has expressed interest to remind them what time the event starts.
  • Have fun! Talk about Camp! If you are passionate about what we do, you’ll do great! The best descriptions come from the heart. Don’t worry about not being able to answer every question, you can always refer people to our website or give them Sarah’s contact info: friends@gocampu.com or 650-308-4453.
